Creating Visual Charts
Turning Rows of Numbers into Meaningful Visual Stories
A chart is a visual representation of your data. Instead of scanning 50 rows of sales figures, a single chart can instantly show you which month was the best or whether your business is growing or shrinking.
Choosing the Right Chart
Not every dataset works with every chart. Here is how to pick the best one for your task:
📊 Column & Bar Charts
Best for: Comparing different categories (e.g., Sales by Product or Marks by Student).
Vertical bars = Column; Horizontal bars = Bar.
📈 Line Charts
Best for: Showing trends over time (e.g., Monthly Revenue or Daily Website Traffic). The lines help you see upward or downward momentum.
🍕 Pie Charts
Best for: Showing parts of a whole (e.g., What percentage of our budget goes to Rent vs. Salaries). Tip: Use this only for 5 or fewer categories!
The 3-Step Creation Process
- Select: Highlight your data, including the headers (e.g., Product Names and Prices).
- Insert: Go to the Insert tab on the Ribbon.
- Pick: Select a chart type or click Recommended Charts to let Excel suggest the best layout for your data.
🎨 Professional Touches
Once your chart is created, use the "+" (Chart Elements) button at the top right of the chart to add:
- Chart Title: Tell the reader exactly what they are looking at.
- Data Labels: Show the exact number on top of each bar.
- Legend: Explain what different colors represent.
