Organizing Information for Better Insights

Sorting is the process of rearranging your rows based on the values in a specific column. Whether you are organizing names alphabetically or ranking sales from highest to lowest, sorting helps you find the information that matters most.

🔤 Alphabetical A → Z (Ascending)
Z → A (Descending)
🔢 Numerical Smallest to Largest
Largest to Smallest
📅 Chronological Oldest to Newest
Newest to Oldest

⚠️ The "Expand Selection" Rule

When you sort a single column, Excel will ask: "Do you want to expand the selection?"

Always say YES. If you don't, Excel will only sort that one column, which means your students' names will no longer match their marks! Expanding ensures the entire row moves together.

Advanced: Multi-Level Sorting

What if two students have the same marks? You can add a second "level" to your sort:

  1. Go to the Data tab and click Sort.
  2. Set the first level (e.g., Sort by Marks: Largest to Smallest).
  3. Click Add Level.
  4. Set the second level (e.g., Then by Name: A to Z).

The fastest way to sort is to turn on Filters (Ctrl + Shift + L). This adds a small arrow to every header. Click the arrow on any column to instantly sort that column without opening any menus!
