Text Formatting and Cell Formatting
Text and Cell Formatting
Making Your Data Clear, Readable, and Professional
Data entry is only half the job. Formatting allows you to highlight important information, organize categories, and ensure that numbers (like dates or money) are interpreted correctly by anyone reading your sheet.
🔠 Text Styles
- Font & Size: Choose clean fonts like Calibri or Arial.
- Emphasis: Use Bold for headers and Italics for notes.
- Alignment: Left (Text), Right (Numbers), or Center (Headers).
🎨 Visual Structure
- Fill Color: Use light colors to shade alternate rows.
- Borders: Define the edges of your tables for printing.
- Cell Styles: Use Excel's built-in "Heading" or "Total" presets.
Number Formats: The "Identity" of Data
Excel treats numbers differently depending on the format you choose. For example, the number 2500 changes its meaning instantly:
| Format | Visual Result | Use Case |
|---|---|---|
| General | 2500 | Standard counting. |
| Currency | $2,500.00 | Sales, prices, and costs. |
| Percentage | 250000% | Growth rates (Careful with decimals!). |
| Short Date | 11/04/1906 | Excel stores dates as numbers. |
🖌️ The Format Painter: The Ultimate Time-Saver
If you spent 5 minutes making one cell look perfect (Bold, Blue background, White text), don't repeat the work! Click the cell, click the Format Painter (brush icon), and then click the new cells to "paint" the style onto them instantly.
💡 Skill Eco Pro-Tip: The "Accounting" Format
When making financial reports, use Accounting format instead of Currency. Accounting aligns the currency symbols ($) to the left and the numbers to the right, making it much easier to read long columns of money.
