Working with Rows and Columns
Managing Rows and Columns
Mastering the Structure of Your Spreadsheet
Rows (numbers) and Columns (letters) are the foundation of Excel. Knowing how to manipulate them quickly—without deleting important data—is a core skill for any professional user.
Common Structural Tasks
| Action | How to do it | Best For... |
|---|---|---|
| Insert / Delete | Right-click the Header (e.g., "A" or "5") → Insert. | Adding a new student or removing a duplicate. |
| Hide / Unhide | Select Header → Right-click → Hide. | Removing messy "helper" columns from a final report. |
| Resize | Click and drag the line between two headers. | Giving long email addresses more space to breathe. |
The "AutoFit" Double-Click
Don't guess how wide a column should be! Hover your mouse on the line between two column letters (like A | B) until the cursor turns into a double-arrow, then double-click. Excel will perfectly resize the column to fit the longest piece of text in that column.
⚠️ Caution: Hidden vs. Deleted
Remember: Hiding a column does not remove the data from formulas. If you sum a range that includes a hidden column, those hidden numbers will still be added to the total!
📏 Uniform Sizing
To make all rows the same height, click the Select All button (top left corner between A and 1) and drag just one row. Every row in your sheet will snap to that exact same height!
💡 Skill Eco Pro-Tip: Keyboard Shortcuts
- Ctrl + Plus (+) : Quickly insert a new Row or Column.
- Ctrl + Minus (-) : Quickly delete the selected Row or Column.
- Ctrl + 0 : Hide the current column.
