Automating Visual Cues Based on Data Rules
Conditional Formatting tells Excel: "If this happens, make the cell look like this." It is the best tool for spotting trends, highlighting errors, or identifying top performers without manually checking every single cell.
Common Highlight Rules
Highlight marks Less Than 35 in light red fill with dark red text to identify students who need help.
Highlight sales Greater Than 10,000 in green to instantly see your best-selling items.
Instantly find Duplicate Values in a list of IDs or phone numbers to prevent data entry errors.
Advanced Visual Tools
Excel offers more than just solid colors. You can use these built-in graphics to make dashboards pop:
- Data Bars: Adds a small bar graph inside the cell. The larger the number, the longer the bar.
- Color Scales: Creates a "heat map" (e.g., Green for high, Yellow for mid, Red for low).
- Icon Sets: Adds arrows (up/down), traffic lights, or rating stars based on the value.
🔄 Live Updates
Conditional formatting is dynamic. If you change a student's mark from 30 to 80, the red "Fail" highlight will disappear automatically and change to your "Pass" formatting. You never have to re-apply the rules!
💡 Skill Eco Pro-Tip: Managing Rules
If you have too many colors on your screen and want to start over, go to Conditional Formatting > Clear Rules > Clear Rules from Entire Sheet. To edit a specific rule, use the Manage Rules option at the bottom of the menu.
